Prime Contractor Daily Reports

The Prime contractor daily report is a log of things that happen on a project each day.  The report should
be filled out daily so as not to forget what happened that day.  It takes a lot of discipline to fill out the report
each day because of all of the other building related issues that come up.  However, because of the
information included in the report, the information can save many arguments later in the project.  Again by
be organized and taking the time to document, much time can be saved by showing the report in lieu of
many meetings and claims.

The following is a list of items included in a typical daily report and why they should be filled out each day:

  • Weather
  • Schedule Impacts
  • Contractors work & manpower
  • Subcontractors work & manpower
  • Visitors to the site
  • Equipment Onsite
  • Safety Review
  • Accidents
  • Date
  • Report Number

Each day the Superintendent is to fill out the General Contractor Daily Report.  It must contain an accurate
record of the contractors onsite, their work force, and the work performed on the site that day.  The report
must also include work performed by Harris, equipment onsite, weather conditions, delays, and safety
review.   

Subcontractor Daily Reports
Subcontractor daily reports must be turned into General Contractor at the end of each workday.  The
report must include a detailed account of work performed by the subcontractor or their subcontractors,
size of the work force, equipment onsite, and any delays.  Any delays or issues noted in the Subcontractor
Daily Report must reviewed by the Project Manager / Superintendent and a written response issued to
the subcontractor within one day.

Progress Photographs
Photographs of the site must be taken at a minimum of once per week.  The pictures should show an
accurate depiction of the progress of the work.  Special conditions, damaged areas, accidents and
delays must be taken at the time of the event to supplement the progress photographs. The files for the
photos must be listed by date with a separate file for each week or download.  An album of thumbnail
photos must be printed with each download and kept in a binder.

All photos must have a date stamp.
